Exchange email update

The Exchange administrators are working with your departmental IT Pros to move your mailboxes, resource room calendars, and group mailboxes from our Exchange 2013 environment to Exchange Online.

The ability to send mail on behalf of, read access, or accept or send calendar invites on behalf of a secondary mailbox may be disrupted until the mailbox has finished migrating. Please work with your IT Pro if you are experiencing any of these issues.[1]
 

Why: The move to Exchange Online will require all mail connections to use two-factor authentication, vastly improving IU’s mail security. The Office 365 platform also provides many advanced threat protection settings and other enhanced controls.

Exchange Online also integrates directly into Microsoft Teams, allowing users to schedule meetings, see their Exchange calendar, and see free/busy information all within the Teams application. Other Office 365 applications like Flow can also take advantage of the account, storing attachments in OneDrive, or setting email triggers on activity.

Be aware that if you work with people in other departments, you may have issues seeing their shared calendars and other mailbox settings until they migrate with you. This is one reason why we’re moving accounts so quickly.

Before your account is migrated:

• Please update any mobile mail clients to use the username@iu.edu value, instead of the ads\username setting. This will also need to be changed on Mac versions of Outlook [2].
• You may receive some licensing emails from Office 365 that state new features (e.g., audio conferencing) are available in your subscription. Nothing needs to be done regarding these emails.  
• If you use Thunderbird or another Linux client, you will need to update or change your client, please follow the instructions in the following article [2].

What to expect the day of your migration:

• Outlook clients will inform you that "Administrators have made a change to your account that will require you to restart." This will indicate your mailbox migration is complete. Restart the Outlook client.  
• You may be prompted to accept a new Autodiscover URL on restart (https://autodiscover-s.outlook.com/autodiscover/autodiscover.xml). Allow this source and check the box to always use my response for this server.  
• Be aware of the known issues with Exchange Online [3]. This document will be updated as we have more to share or resolve issues.  
• Other users that have your calendar open as a "shared calendar" may be prompted to re-enter their credentials. If you are contacted by someone with this prompt, remind them they need to login as username@iu.edu, not the ads\username pattern to this authentication prompt.  
• The Outlook web interface URL will change. Please use: https://outlook.office365.com/owa/iu.edu to access mail via the web.  

After you've been migrated:

• Microsoft Teams will begin showing your Exchange calendar within a day or two, and you can book future meetings in the application.
• My Analytics [4] and your daily briefing will begin feeding you information about your mail and meeting habits. This is private information, not available to anyone else at IU.  
• If your department has resource rooms that were not included in your initial migration, or new users are added to your department and need to be migrated to Exchange Online, please contact your dedicated IT support group [5].
